Privacy Policy

1. What we collect
Account data: name, username, email address, and a hashed password (if you set one) β we never store your password in readable form. If you sign in with Google or Facebook, we receive only your name and email from them, nothing else.
Files you upload: processed solely to produce the output you requested, then automatically deleted β within 24 hours on the Free plan, or 30 days on paid plans. See our Security page for how file access is protected in the meantime.
Usage data: which tools you use and when, your IP address, and (for visitors without an account) an anonymous device cookie used only to enforce the free daily file limit.
Feedback you choose to send: if you answer "Was this helpful?" after using a tool, we store your thumbs up or down and, if you write one, your short comment, together with the tool name and the date. If you are signed in it is linked to your account; otherwise it is linked only to an anonymous device identifier used to limit spam. Please don't put personal information in a comment.
Favorite tools: if you star tools while signed in, the list of tool names is saved to your account so it follows you to other devices. If you aren't signed in, favorites stay in your own browser only.
Invites: if you join through a friend's invite link, we record who invited you and whether you have finished a first file, so the bonus can be given to both of you. The person who invited you sees your first name and sign-up date. If you invite friends, we store your personal invite code.
Email confirmation: when you sign up with an email address we send one link to confirm it is yours. We store only a scrambled (hashed) copy of that link, it works once, and it expires after 72 hours. We then keep the date you confirmed. Accounts created with Google or Facebook are treated as confirmed.
Newsletter: if you enter your email in our newsletter form, we first email you a link to confirm, and add you to the list only after you click it. We store your email address, the page you signed up from, and the dates you signed up, confirmed and unsubscribed. Every email we send has an unsubscribe link. After you unsubscribe we keep the address, marked as unsubscribed, only so that we never email you again by mistake.
Visit statistics: we count visits to our pages with our own software, without cookies. For each page view we keep the page address, the date and hour, which website sent you (its domain only, never the full link), your device type, browser, operating system and country, and how long the page was actively used, how far it was scrolled and whether there was a click, submit or download. We keep no IP address and no browser identification text. To count one visitor once a day we use a code made by scrambling your IP address, browser and the date; it changes every day, so it cannot be used to follow you from one day to the next, and it is not linked to your account. Page views are deleted after one year by default.
2. How we use it
To run the tool you asked for, keep your account secure, enforce plan limits, process payments, send you a single welcome email (with a link to confirm your address) when you create an account, remind you before a paid plan ends, and β only if you've opted in β send you product emails. We do not sell your data or files, and we do not scan file contents for advertising.
3. Third parties your data may pass through
Depending on which tools and sign-in methods you use, your data may be sent to:
- CloudConvert and OCR.space β only the specific file you submit to a tool that needs them (e.g. PDFβWord, OCR), solely to perform that conversion.
- Google / Facebook β if you choose to sign in with them (name and email only).
- Razorpay / Stripe β if you subscribe to a paid plan, to process payment. We never see or store your card details.
- Google Drive / Dropbox / OneDrive β only if you explicitly connect one and choose to save a file there.
- Google reCAPTCHA / Google Analytics β if enabled on this site, to block bots and understand aggregate traffic. See our Cookie Policy.
Each of these services has its own privacy policy governing the data it receives.
4. How long we keep data
Files: 24 hours (Free) or 30 days (paid plans) after processing, then permanently deleted from our servers. Account data (name, username, email) is kept until you ask us to delete it.
5. Your rights
You can update your name, username, and password anytime from Settings. To request a copy of your data or full account deletion, contact us using the details below β we don't yet have a fully self-service delete-account button, so this is handled manually.
6. Children's privacy
PDFDocFuse is not directed at children under 13, and we don't knowingly collect data from them.
7. Changes to this policy
We may update this policy from time to time; continued use of the service after a change means you accept the update.
